Game Master Services Agreement
Between [REGISTERED LEGAL NAME] carrying on business as Griffons Den, 920 Hillside Ave, Unit 202, Victoria, BC (the "Club"), and [GM LEGAL NAME] of [ADDRESS] (the "Game Master" or "you").
Effective [DATE]. Provisional — pending legal review.
1. What you agree to do
1.1 Run the tabletop campaign(s) listed in Schedule A at the Club's premises, at the day and time shown, for sessions of about three hours, for members and visitors the Club books into your table.
1.2 You decide how each session is run: the game system, the story, the pacing, the rulings, and the preparation. The Club does not direct, supervise or review your game.
1.3 You record attendance in the Club's portal at each session, write a short recap for players if you wish, and record any cancellation or rescheduling there.
1.4 You follow the Club's Code of Conduct (members.griffonsden.com/conduct) at the table, as every member does, and you apply it to your players.
2. What the Club provides
The room, tables, chairs, shared terrain and rulebooks, the booking and payment system, the members, and the schedule slot. Nothing else: you supply your own materials, notes, screen, dice, miniatures and preparation.
3. Fee
3.1 The Club pays you $13.75 for each paying player present at each session you run — half of the Club's per-session value of $27.50. Members and drop-in players count. Visitors on a free first session do not.
3.2 The number of paying players present is the number you record in the portal's attendance log for that session. The log is the record of what is owed.
3.3 The Club pays you on the 15th of each month for all sessions in the previous calendar month, by e-transfer to [EMAIL], with a statement from the portal listing each session, the players counted, and the amount.
3.4 A session you cancel earns nothing. A session the Club cancels earns nothing. A session moved to another date by agreement with the table is paid on the date it runs.
3.5 If the Club's per-session value changes, the Club gives you 30 days' written notice and the fee changes to half of the new value from that date.
3.6 You may run other games at other venues or online, for anyone, at any time. This agreement is not exclusive.
4. Scheduling, cancellation and substitutes
4.1 Your campaign runs at the slot in Schedule A. Changes to the slot are agreed between us in writing.
4.2 If you cannot run a session, tell the Club as early as you can. The Club will make every effort to arrange another Game Master to run a one-shot or another game in your slot; no fee is payable to you for a session you do not run. Only if no substitute can be found is the session cancelled. The Club's members' terms allow the Club to cancel a limited number of sessions per table each month and year without compensating members; beyond that the Club credits members. You are not liable for those credits, but repeated short-notice cancellations are grounds for ending this agreement under Section 8.
4.3 You may arrange a substitute Game Master for a session, at your own expense, if the Club approves the substitute in advance. The substitute must follow the Code of Conduct.
4.4 The Club closes for 14 days each year and may cancel sessions for weather or facility reasons; no fee is payable for sessions that don't run.
5. Independent contractor
5.1 You are an independent contractor, not an employee, partner or agent of the Club. You have no authority to bind the Club.
5.2 You are responsible for your own income tax, Canada Pension Plan contributions, and, if your annual revenue from all sources exceeds the small-supplier threshold, GST registration and remittance. The Club does not withhold or remit anything on your behalf.
5.3 You are responsible for your own WorkSafeBC coverage if you choose to carry it (Personal Optional Protection) and for any insurance you wish to hold. [COUNSEL: confirm WorkSafeBC status for an independent operator without employees, and whether the Club's own coverage or premises insurance touches this.]
5.4 The Club will issue a T4A slip for fees paid in each calendar year. [ACCOUNTANT: confirm.]
6. Your content, and the Club's
6.1 Everything you create for your games — campaign, characters, maps, notes, handouts — is yours. You grant the Club a licence to use your name, photograph and profile text, and the campaign name and description, to promote your table while this agreement is in force.
6.2 Members' names, contact details, attendance and payment records belong to the Club and are personal information under BC's Personal Information Protection Act. You use them only to run your table and contact your players about it, and you keep them confidential during and after this agreement. You don't copy them out of the portal or use them for anything else.
6.3 The Club's name, logo and brand remain the Club's.
7. Working with minors
Some campaigns admit players under 19. If your table does, you consent to a criminal record check under the Criminal Records Review Act before running it, at the Club's expense, and you agree that no adult other than a parent or guardian is alone with a minor at the premises. [COUNSEL: confirm the CRRA applies to a contractor in this setting.]
8. Term and ending the agreement
8.1 This agreement runs from the effective date for the campaign(s) in Schedule A and continues while any of them runs.
8.2 Either of us may end it, or remove a campaign from Schedule A, on 30 days' written notice. The Club will try to give players notice and find a replacement Game Master; you agree to run sessions already scheduled in the notice period if you are able.
8.3 The Club may end it immediately, in writing, for a serious breach of the Code of Conduct, for conduct that endangers a player or member, or for a breach of Section 6.2.
8.4 Fees earned up to the end date are paid on the next 15th as usual.
9. General
9.1 This agreement is governed by the laws of British Columbia.
9.2 It is the whole agreement between us about your Game Master services and replaces any earlier arrangement. Changes must be in writing and agreed by both of us.
9.3 If any part is found unenforceable the rest still applies.
9.4 Notices may be given by email to the addresses in this agreement.
