Griffons Den Membership Terms

These Terms are the contract between you and us when you take a seat, book a drop-in or free session, or join a waitlist. Your cancellation rights are in Section 10.
YOUR MONTHLY PAYMENT RESERVES YOUR SEAT. A seat at a table is yours for as long as you keep paying — on holiday, off sick, or just busy, the seat stays reserved for you and nobody else can take it. Tables are small and full tables have waitlists: if you cancel, your seat is released to the next person on the list.
YOUR MEMBERSHIP RENEWS EVERY MONTH UNTIL YOU CANCEL IT. You are responsible for managing your own account. Not attending does not pause or cancel it — like a streaming subscription, if you don't cancel, you pay, and we don't refund months you didn't come. Cancelling is one click from your dashboard (Section 10) and takes effect at the end of the month already paid.

2. What you are buying
2.1 A seat. A seat is a reserved place at one scheduled campaign — yours whether or not you attend a given session, held for you through absences, the annual closure and any pause, and released to the waitlist only if you cancel or stop paying. Campaigns run in person at our premises by a Game Master, for a session of about three hours, every week or every second week as shown on the campaign page.
2.2 Each seat includes: your place at that campaign's scheduled day and time; the seat held for you for as long as you are a member, including through the closure in Section 4 and any pause under Section 11; use of table space, terrain, dice and shared rulebooks; and [ANY OTHER INCLUDED BENEFIT].
2.3 Not included: food or drink (bring your own — we're a private club), retail purchases, special events unless we say otherwise.
2.4 Members and Seat Holders. The person who pays is the Member. The person who attends in the seat is the Seat Holder — usually the same person, but a Member may hold seats for family or friends, at one campaign or several. You tell us who each Seat Holder is and may change it by writing to us. The Member is responsible for payment and for every Seat Holder's conduct. Every seat is the same price; there is no multi-seat discount.
2.5 Capacity. Tables seat 8. When a table is full you may join its waitlist (Section 12).
3. Sessions
3.1 Campaigns run on a fixed day and time, weekly or every second week, as shown on the campaign page, except during the closure (Section 4) and on flex days (Section 5).
3.2 Session Value. Each session has a value of $27.50. We use it to calculate credits under Section 5 and the price of a drop-in under Section 13.
3.3 Statutory holidays are ordinary session days unless your table agrees to move the session.
3.4 Rescheduling. If the Game Master and every Seat Holder at a table agree to move a session to another date within [7] days, that is a rescheduled session, not a cancelled one.
4. Annual closure
4.1 We close for 14 consecutive days each year. This year: [CLOSURE START] to [CLOSURE END] inclusive. We publish the next year's dates by [October 1]. The length does not change; the dates may, on notice under Section 14.
4.2 Your monthly price is the same in a month that contains the closure. Your seat is held through it. We may run optional sessions during the closure; they are not part of your membership.
5. Flex days and credits
5.1 A flex day is a scheduled session we cancel because a Game Master is ill or unavailable, because of weather, or because the facility is unavailable.
5.2 We may use no more than 1 flex day per calendar month and 10 per rolling 12 months for any one campaign. Flex days within those limits are not credited; they are reflected in the price.
5.3 If we cancel a session beyond those limits, for any reason, we credit every active seat at that table the Session Value ($27.50) against its next monthly payment, or refund it within 15 days if the membership has ended. We don't ask why before crediting.
5.4 We give notice of a flex day as early as we reasonably can by [email / SMS].
5.5 Substitute sessions. Flex days are a last resort. If your Game Master can't run a session, we will make every effort to arrange another Game Master to run a one-shot or another game in your slot. A session run by a substitute Game Master counts as a delivered session, not a flex day. Only if no substitute can be found will the session be cancelled and a flex day used.
6. Price and payment
6.1 Monthly price, per seat

There are no joining, administration, booking, failed-payment or cancellation fees. The only amounts you ever pay are the monthly price, and any drop-in or event you choose to book.
6.2 Month to month, paid in advance. Your membership is a one-month term that renews automatically each month until you cancel. Each monthly payment buys the coming month.
6.3 When your first and later payments are taken. Each campaign page and the checkout say plainly which of these applies to your seat:

There is no proration. If your billing day is the 29th, 30th or 31st, shorter months bill on their last day.
6.4 Payment method. Card, in Canadian dollars, processed by Stripe. We don't see or store your card number. By signing up you authorise us to charge the card on file for the monthly price on the dates above, and for nothing else without your separate consent.
7. Non-payment
7.1 If a payment fails we retry it and email you. 7.2 If it stays unpaid [14] days after it was due, we may suspend your seat: you may not attend, but the seat is held. 7.3 If it stays unpaid [30] days after it was due, we may end your membership by written notice. You owe the unpaid month only if you were entitled to attend in it, and nothing else. Decisions to release a seat are made by us personally, not automatically.
8. When your membership starts
Your membership starts on the start date we confirm in writing at sign-up — your first session, or the campaign's first session if it hasn't begun yet.
9. Renewal
Your membership renews each month automatically on your billing day, at the price then in force, until you cancel it. We do not send a reminder before each renewal, and we do not cancel memberships on your behalf because you haven't been attending. It works like a streaming subscription: if you don't cancel, you pay, whether or not you use your seat. While your membership is active your seat is never given to anyone else. Cancel from your dashboard or by writing to us (Section 10); your seat then runs to the end of the month already paid and no further payment is taken. Stripe emails a receipt after each charge showing the next billing date.
10. Cancellation and refunds
10.1 Cancel any time. You may cancel your membership at any time, before or after any renewal, without charge or penalty, from your dashboard, or by writing to us at TheGriffonsDen@gmail.com or 920 Hillside Ave, Unit 202, Victoria, BC.
10.2 What happens when you cancel. No further payments are taken. Your seat stays yours until the end of the month you have already paid for, and then ends. No refund is owed for that month. [COUNSEL: confirm this satisfies "without penalty" for a ≤60-day renewal term.]
10.3 Removing one seat. A Member with several seats may cancel one and keep the others.
10.4 Cancelling with a refund of the unused part of the month. We refund the unused part of the current month (Section 10.6) within 15 days if:
- we discontinue the campaign and can't offer a comparable seat within 30 days;
- we change these Terms in a way that increases your obligations or reduces ours (Section 14);
- we move more than 30 km from our current premises without comparable alternative premises;
- the Seat Holder or the Member dies (refund to the estate); or
- a health condition of the Seat Holder, confirmed in writing by a medical or nurse practitioner, makes continued participation unreasonable (see Section 15 on how we handle that note).
10.5 Your rights under BC law. Nothing in these Terms limits your rights under the Business Practices and Consumer Protection Act. Because this contract is made online, that Act also gives you cancellation rights if the contract does not contain the information the Act requires, if we don't give you a copy within 15 days, or if we don't begin providing the service on the date we said. [COUNSEL: list the specific rights and periods, or confirm a general statement is preferable.] To cancel for any reason, use a method that lets you prove you gave notice; what counts is when you sent it.
10.6 Unused part of a month = your monthly payment × (scheduled sessions remaining in that month after cancellation takes effect ÷ scheduled sessions in that month), excluding closure days and announced flex days. Refunds go to the payment method you used.
11. Pausing
You may pause your seat for up to 2 months at a time with 14 days' notice, choosing a resumption date. No payment is taken while paused, your seat is held, and billing resumes on the resumption date, which becomes your new billing day.
12. Waitlist
If a table is full you may join its waitlist (name, email; no card, no charge). When a seat opens we email the first person a link to take it; the link holds the seat for 48 hours, then the offer passes to the next person. You may leave a waitlist at any time via the link in our emails.
13. Free first session and drop-ins
13.1 Free first session. Your first visit to an open table is free: $0, no card, once per person. Book it on the campaign page.
13.2 Drop-in. One session at an open table for $27.50 plus GST, paid at booking, no membership required. Drop-ins are sold one at a time; we don't sell packs. If the session is cancelled by us, you are refunded in full within 15 days.
13.3 Free-session and drop-in visitors count toward the table's capacity for that session and must follow the Code of Conduct.
14. Changes to these Terms
14.1 We may change only these provisions of your contract: the monthly price (Section 6); the dates (not the length) of the closure (Section 4); and the day, time, room or Game Master of your campaign (Section 2). Cancellation, refund and pause terms (Sections 10–11) may never be changed in a way that increases your obligations or reduces ours.
14.2 Before any change takes effect we give you at least 30 and not more than 60 days' written notice, by a method that lets us prove you received it, setting out the new wording and a plain explanation. If the change increases what you pay or reduces what you get, the notice will say that you may cancel at any time without charge or penalty (Section 10.4).
15. Privacy
We collect your name, contact details, Seat Holder names, attendance, and any medical confirmation you give us under Section 10.4, only to run your membership, under BC's Personal Information Protection Act and our privacy policy at members.griffonsden.com/privacy. Card details are held by Stripe. Contact details are kept in our customer system (HubSpot) for schedule and renewal notices; you may opt out of marketing at any time. A medical confirmation need only say a condition makes participation unreasonable; we delete it within 30 days of processing your cancellation.
16. Conduct
You and every Seat Holder must follow our Code of Conduct at members.griffonsden.com/conduct, which forms part of these Terms. We may suspend or end a seat for serious or repeated breaches, refunding the unused part of the month (Section 10.6).
17. Reviews and general
Nothing in these Terms prevents you from publishing a review. These Terms are governed by the laws of British Columbia. [COUNSEL: no arbitration clause, no class-proceeding waiver.] We email you a copy of your contract at sign-up and in any event within 15 days.
